How to calculate hours worked
Subtract the start time from the end time, take off unpaid breaks, and add up the days. Here's a real week worked through with the same math the calculator uses.
| Day | Shift | Break | Hours |
|---|---|---|---|
| Monday | 09:00 to 17:30 | 30 min | 8:00 |
| Tuesday | 09:00 to 17:30 | 30 min | 8:00 |
| Wednesday | 09:00 to 17:30 | 30 min | 8:00 |
| Thursday | 09:00 to 17:30 | 30 min | 8:00 |
| Friday | 09:00 to 17:30 | 30 min | 8:00 |
| Saturday | 10:00 to 15:00 | None | 5:00 |
| Week total | 45:00 | ||
That's 45.00 hours. Under a 40 hour weekly overtime rule, 40.00 hours are regular and 5.00 are overtime. At $25.00 an hour with overtime at 1.5 times, pay is $1,000.00 + $187.50 = $1,187.50.
Minutes to decimal hours
Payroll and invoices usually want hours as a decimal. Divide the minutes by 60, or use this table.
Overtime basics
Under the US federal Fair Labor Standards Act, covered non-exempt employees earn overtime for hours over 40 in a workweek, at no less than one and a half times their regular rate. A workweek is a fixed run of seven days, and hours can't be averaged across weeks. Weekends and holidays don't trigger overtime on their own under federal law (US Department of Labor).
Some states go further. California, for example, counts hours over 8 in a workday as well as over 40 in a workweek (California Labor Commissioner). Pick "Over 8 a day or 40 a week" in the calculator for that pattern.
Freelancers and independent contractors aren't employees, so overtime rules don't apply. Set overtime to "No overtime" and bill your agreed rate for every hour.
Billing a client for these hours?
Invoices Tracker has a built-in timer for each client. Start it when you begin, stop it when you're done, and turn the tracked hours into invoice lines in one click. No more adding up time cards by hand. It's free.
Frequently asked
How do I calculate hours worked on a time card?
For each day, subtract the start time from the end time, then take off any unpaid break. Add the days together for the week. For example, 9:00 to 17:30 is 8 hours 30 minutes; minus a 30 minute lunch that's 8 hours. The calculator above does this for every day at once and shows the week's total in hours and minutes and in decimal hours.
How do I convert minutes to decimal hours?
Divide the minutes by 60. 15 minutes is 0.25 hours, 30 minutes is 0.50, 45 minutes is 0.75. So 7 hours 45 minutes is 7.75 hours. Payroll and invoices usually want decimal hours, which is why the calculator shows both formats.
Does it work for night shifts that go past midnight?
Yes. If the end time is earlier than the start time, the calculator treats it as an overnight shift. 22:00 to 06:00 counts as 8 hours.
How is overtime calculated?
Pick the rule that applies to you. "Over 40 hours a week" follows the US federal rule: hours past 40 in a workweek are overtime, paid at your overtime rate (1.5 times by default). "Over 8 a day or 40 a week" counts each day's hours past 8 as overtime, then any remaining regular hours past 40 in the week, the way California does it. Rules differ by state and country, and some workers are exempt, so check what applies to you.
I'm a freelancer. Can I use this to bill a client?
Yes. Turn off overtime, enter your hourly rate, and the total is what to bill for the week. Copy the summary into your invoice, or use the free invoice generator. If you'd rather not add up hours by hand, a free Invoices Tracker account has a built-in timer that turns tracked hours straight into invoice lines.
Is my data saved or sent anywhere?
No. The calculator runs entirely in your browser. Nothing you type is stored or sent to our servers, and it's gone when you close the page.
